NECS recommends purging data files when they become large and unmanageable. All of the data that is tracked by entrée is retained until the files are purged. Purging will increase the speed of the system for operations that access the history files, such as closing the month or re-indexing. It will also free some disk space.

 

Options have been added to purge the "YTD Invoice Change Log" and "YTD Invoice Print Log" files.

 

Every time an invoice is created each line item is saved in a data file. Over the course of time, the data files can grow to hundreds of megabytes. The file structure limits the system to one billion records. Although you will not reach that limit, when files get over 100 megabytes, they become hard to handle and can slow the whole system. If closing the month or printing reports from history take a very long time, it is probably time to purge the history files. The length of time to complete the purge process itself depends on the speed of the computer and how much data is stored.

 

NECS strongly recommends all users are out of the entrée system, when this utility is run. Failure to comply may result in a collision with a user that is attempting to access one or more of the data files.

 

NECS strongly recommends making a full backup of all the data files before purging any data. The backup should be permanently kept in case the purged data needs to be referenced at a future date.
