This last part of the System File section of the menu contains End of Day, Close Period and Release to GL. This chapter will outline these utilities used as part of a closing or finalization process in the entrée system.
There is an End of Day utility in the System ribbon menu can be used to "lock down" transactions on a daily basis.
At the end of each month or period, data is transferred to the historical files, using the Close Period utility in the System ribbon menu.
Finally, the Release to GL utility in the System ribbon menu is used for releasing AP/AR transactions to the General Ledger.
Asset, Liability and Equity accounts in the GLCURB field do not get reset after you close the year.
Closing & Disk Space
The Close process writes to the Transaction Log Files and requires a large amount of disk space to record the changes made during the close process.
The Transaction Log Files need at least 75% of their current data file size on your drive to successfully run a close.
If you have another drive available in the system with enough free space you may consider changing the path of the Transaction Log Files and move your data files to this larger disk drive.
A NECS Tech Support team member can assist you with these changes so your system will successfully run the closing without space problems.
